Job Description & Details
This is a hands-on Executive Assistant gig where you will act as the operational glue for senior leadership and their teams in Spring, Texas. If you hate monotony and thrive on keeping complex moving parts tightly organized, this role gives you plenty of ownership over daily execution, travel logistics, and office operations.
What You'll Actually Be Doing
You will spend a solid chunk of your day wrangling complex calendars across multiple time zones, organizing team meetings, and chasing down action items to make sure leadership stays on track. Beyond calendar Tetris, you are taking charge of domestic and international travel, managing P-Card reconciliations, keeping track of internal hardware inventory, and planning team offsite events. It is a balancing act of administrative rigor, logistics, and keeping the local office running smoothly as the organization scales.
The Core Tech Stack
Microsoft 365 is your bread and butter here—you live in Outlook for scheduling wizardry, Teams for communication, and Excel/SharePoint for tracking everything from hardware inventory to procurement requests and expenses. You need to be deeply comfortable handling confidential information with absolute discretion while juggling multiple competing priorities without dropping the ball.
Interview Expectations
The hiring manager is going to test how you handle chaos and ambiguity. Expect a question like, "Walk me through a time when two senior leaders demanded your immediate attention for overlapping, high-priority conflicts, and how you resolved it." They want to see your prioritization framework and communication style under pressure. Another likely angle will involve your experience with vendor management, P-Card reconciliation policies, and keeping track of physical asset inventories. Show them you are process-oriented and proactive.
Application Advice
Skip the generic admin buzzwords and tailor your resume to highlight concrete examples of calendar management for C-suite or senior directors across multiple time zones. Make sure keywords like Microsoft 365, SharePoint, travel coordination, P-Card reconciliation, and inventory tracking are front and center. If you have managed onboarding logistics or planned major team-building events in past roles, spell those out clearly to easily beat the ATS filters.
